Confirming a booking

If your clinic requires manual confirmation for new bookings:

  1. Open the appointment from the Appointments tab
  2. Click Confirm
  3. The patient receives an automatic confirmation notification

If your clinic uses auto-confirm (set in Settings), bookings are confirmed immediately without this step.

Cancelling a booking

  1. Open the appointment
  2. Click Cancel appointment
  3. Select a reason (optional but recommended for reporting)
  4. Confirm the cancellation

The patient receives an automatic cancellation notification with a prompt to rebook.

Tip: Cancelling with a reason helps your team understand patterns (e.g., "Doctor unavailable" vs "Patient no-show").

Marking as completed

After a patient attends:

  1. Open the appointment
  2. Click Mark as completed

Completed appointments feed into the monthly metrics on your dashboard.

Adding notes

Appointment notes are internal only — patients cannot see them. To add a note:

  1. Open the appointment
  2. Click Add note
  3. Type your note and save

No-show handling

If a patient doesn't attend and doesn't cancel:

  1. Open the appointment
  2. Click Mark as no-show

No-shows are tracked separately in your metrics and do not count as cancellations.
